Estimated IFTA Tax vs. Actual Tax Due: Understanding Your Invoice

An IFTA service invoice can include more than one type of charge. Identify the quarter, the tax amount, the service charge, and any remaining balance before paying.

Estimate is provisionalA planning amount is not the completed return.
Fees are separatePreparation charges are not the government fuel tax.
Check previous paymentsAn adjustment should account for amounts already applied.
Important: This guide is general information. Requirements can depend on the business, vehicle, jurisdiction, and current agency rules.

Why an estimate may change

A billing estimate is a planning amount used before final records have been reviewed. The completed IFTA return uses the applicable mileage, fuel information, and tax rates. An estimate should not be treated as a guaranteed final tax bill.

Ask what the estimate includes and whether it is being collected toward tax, service fees, or both. Clear labels make it easier to understand a later adjustment.

Read the actual-tax adjustment with the estimate

Compare the completed quarter's tax with any estimated tax payment already credited to that quarter. The question is what remains unpaid, not whether the final tax should simply be added again in full.

For a hypothetical example, assume the final tax is $180 and $125 has already been applied toward that tax. The remaining tax is $55, before unrelated charges or adjustments. If the $125 estimate was never paid, the unpaid total is different. Always check payment history as well as invoice labels.

Separate tax from the service charge

A filing or preparation fee pays for the provider's work. It is not the tax calculated on the return. Other state mileage or highway-use programs can also create separate obligations; they should not automatically be assumed to be included in IFTA.

Ask for the relevant quarter and a plain-language description when a tax line is unclear. Keep the completed filing and the service invoice as separate records.

Understand older balances on a current statement

A statement may show current charges together with unpaid items from previous invoices. Showing an older balance should not mean a second charge has been created. Review the source quarter, payments, and remaining amount.

If you have already paid, send the payment date, amount, and reference number for reconciliation. Do not send your full card information by email or pay a questionable duplicate just to clear the screen.

Check the final total before paying

  • Confirm the company and billing quarter.
  • Review current charges separately from previous unpaid balances.
  • Check that estimated tax payments and credits were applied.
  • Review any separately listed processing fee.
  • Save the payment receipt and ask about any balance that remains.
