Check which payment status you actually have
A submitted form is not the same as an approved payment. For card payments, Authorize.net distinguishes Authorized/Pending Capture from Captured/Pending Settlement: the first still needs capture, while the second has been approved and captured for settlement. Declined means the transaction was not approved.
Ask the provider to verify the actual transaction and its current status. Do not interpret a generic pending label as proof of either success or failure. Different systems may use that word for different steps.
Match the payment to the correct business
Send the legal company name and USDOT or MC number with the receipt. Also mention whether the payer's name or email differs from the company contact. Those details help a provider investigate without relying on a name-only match.
Illustrative example: an owner pays under a personal name while the service account uses the LLC name. The transaction date, amount, and reference can help establish which company the payment belongs to. This example does not identify an actual customer.
Include enough information for a useful review
- Company name and USDOT or MC number.
- Payment date, amount, and transaction or receipt reference.
- Payer name and receipt email if different from the company contact.
- A copy of the renewal notice you are questioning.
- Whether there was an earlier failed attempt or a later retry.
- Any existing subscription reference.
A subscription reference is not a payment receipt
Keep the recurring-service arrangement separate from the transaction history. Ask the provider to confirm the successful payment, the service period it covers, and the next scheduled renewal. A reference number alone does not answer all three questions.
If a retry succeeded after an earlier decline, ask which transaction was applied. Do not assume the older declined entry was replaced automatically or that a second subscription is needed.
Ask for a clear account confirmation
Request confirmation of the account status and covered-through date after reconciliation. Keep that response with the receipt so a future reminder can be checked against it. If a balance remains, ask what it represents before paying.
Use the provider's secure payment channel if another payment is actually needed. Do not email a full card number, security code, or banking credentials with a support request.
