Changing Your Trucking Company Name or Address: A Registration Checklist

A business move or name change can affect several records. Updating an email address with one service does not update your company everywhere.

Identify the changeA new legal entity is different from a mailing-address correction.
Coordinate filingsTell your insurer and process-agent provider about relevant changes.
Verify completionKeep confirmations and review the resulting agency records.
Important: This guide is general information. Requirements can depend on the business, vehicle, jurisdiction, and current agency rules.

First decide what is actually changing

Write down the old information, the replacement information, and the effective date. Distinguish the legal business name from a DBA, and the physical location from the mailing address. A change of ownership or legal entity needs a separate review rather than being treated as a spelling correction.

Gather the documents supporting the change before asking anyone to update records. This reduces the chance that different offices will enter different versions of the company name.

Review USDOT and operating-authority records

FMCSA directs regulated businesses to update their USDOT and operating-authority records when company information changes. The required process depends on what is changing. Follow the current agency instructions rather than assuming an MCS-150 update completes every authority-related change.

Save the submission confirmation and check the completed record. If a request is pending, track it as pending rather than assuming that sending a form means the change is already effective.

Coordinate insurance and BOC-3 information

Tell your insurer and process-agent provider about the change and ask which amended filings are required. For operating-authority legal-name changes, FMCSA identifies additional insurance and BOC-3 requirements after its re-entitlement letter. Follow the instructions and dates in that correspondence.

Do not submit repeated filings just to make an old and new name appear together. Ask the parties handling the records to confirm the correct legal name and identifier.

Use a separate checklist for other accounts

  • State business and tax registrations.
  • IFTA and IRP accounts and vehicle credentials.
  • UCR registration records.
  • Banking, payment subscriptions, and customer billing contacts.
  • Contracts, invoices, and the email address used for renewal notices.

Finish with a confirmation folder

Keep the supporting documents and completed confirmations in one place. Record who handled each update and when it was verified. A short change log is especially helpful when a renewal arrives under an old name or a payment is difficult to match.

Never assume a new legal entity can simply continue using the old entity's registrations. Ask the agencies and qualified advisers to review that situation before operating.
